“Message me anytime” can sound welcoming while leaving you and the sender with different expectations. You may mean that messages can arrive at any hour. They may hear that answers will arrive immediately.

A short availability note can make the arrangement clearer. Start with the responsibilities and agreements you already have, then describe the response pattern you can actually maintain.

Distinguish receiving from responding

State when you normally review messages and which channel belongs to the work. If people operate in different time zones, name the zone. Avoid a promise such as “always available” when the real arrangement is checking email during working hours.

This is a planning exercise, not a recommendation to disregard an existing service agreement or someone who depends on you.

Write a note for a specific relationship

An illustrative project note might read: “I review routine project messages on weekday mornings in Mountain Time. Please keep project questions in the shared thread so the context stays together. If an issue affects an agreed deadline, identify that deadline in the message so we can discuss the next step.”

Adapt the wording to the actual arrangement. Do not copy the schedule if you cannot honor it, and do not describe a support or emergency service you do not provide.

Agree on exceptions rather than inventing them in the moment

Discuss which situations require a different contact route, who is responsible and what the sender should expect. Keep the exception specific to the relationship. A family arrangement and a client service agreement need different conversations.

If someone needs a response pattern you cannot provide, address the mismatch directly. A note is useful only when it reflects an agreement people understand.

Check whether your behavior matches the note

After trying the arrangement, look for mixed signals. Are you answering some routine messages instantly while leaving others unexplained? Are people using the right channel? Is the stated review time realistic?

Adjust the agreement and tell the people affected. The Reprogram Method includes examining and revising everyday patterns. An availability note makes one of those patterns explicit without turning a communication problem into a diagnosis or a judgment about your character.
